Writing Letters to support a Visa Application
A template for visa letters can be found in the OKF Dropbox: OKFBox> Admin > Template Letters
Below are some guidelines for writing a letter to support a visa application:
- Mention the date, venue and a brief description of the event you are inviting the person to
- Use people's official titles (i.e. Dr is preferable to Mr/Mrs if relevant)
- Try to stay gender neutral
- Use headed official notepaper with the OKF address.
- Mention any travel or financial support that you are offering to the candidate. Name, job title and contact details of the person making the arrangements.
- (Sometimes required) Passport number, sex, DOB, job title & organisation for which the candidate works.
- Entry and exit dates
- Official stamp
Often, letters have to be posted or faxed to the embassy / consulate in the country of origin. When doing this, it is important that the fax machine used should have the 'sender's number'. There are various services online which allow this. For OGDCamp 2011, we used EFax.
