Monday Meetings

Project Coordination Meeting
Core team and project leads should all attend the weekly Monday project coord coord meetings. See Google Calendar for more information.
Please make a special effort not to schedule anything else at this time. The project coord meetings will be with project coordinators from as many of the OKFN projects as possible and are designed so that all parties are aware of developments across all OKFN projects.
Before the meeting
- Email out a link to a pad for the meeting to okfn-coord. Use template and copy and paste into a new pad e.g. coord.okfnpad.org/[YYYY-MM-DD]
During the meeting
- Make a note of people not there and move their name to the apologies section
- Encourage the participants to put down key updates, questions and upcoming events in bulleted form
- Keep notes (using wiki syntax will allow you to copy and paste directly)
After the meeting
- Comb notebook and make sure no-one has forgotten to copy a link across to their update into the etherpad. Link if necessary.
- Transfer notes from the etherpad to coord.okfn.org
- Ticket any outstanding action points and assign to the correct person
- Email a copy of the notes along with links to tickets for the attention of the relevant people to okfn-coord mailing list.
- Produce a bulletin with key updates and send out to okfn-discuss
Team Meeting
Follows directly on from the Project Coordination Meeting. All core staff involved with the day-to-day running of the foundation to attend. The team coord meeting will focus on 'nuts and bolts' issues to do with administration, processes and events.
On Monday Mornings, prior to the meeting each core person should:
- Create a notebook blog post (example) with:
- updates from previous week
- availability for coming week
- tasks for the coming week
- To create a notebook blog post:
- Go to notebook (make sure you're logged in).
- Go to dashboard > new post. Write using markdown.
